File Share to Cloud Migration
Our Discovery
A general contractor needed a way to improve their document management strategy. Their previous, traditional file share storage was becoming outdated especially with the effectiveness of cloud technologies.
This client wanted to identify a new strategy that utilized the benefits of cloud storage, but also reduced their overall costs and maintenance of there current setup.
Key Challenges
- Users could only access jobsite files while having an active internet connection
- Jobsite files were continually emailed bloating the mail server and causing collaboration bottlenecks
- Machines were required to have a vpn installed which caused IT
Headaches and unnecessary costs - IT did not have the proper controls to audit files, enforce governance or have disaster recovery protocols
- Users spent excessive time trying to locate files and often recreated jobsite files that already existed
Our Results
Increased productivity by enabling employees to have quick access to files anywhere without an internet connection
Dramatically reduced the amount of time it took to find current or old jobsite files
Saved IT money by moving to the cloud and reducing annual maintenance and support costs
Our Solution
Our solution was to migrate from an old file share to SharePoint and Microsoft Teams. By migrating to SharePoint and Teams, the organization experienced the benefits:
- Real Time Collaboration: ability for multiple people to edit the same document at once
- Enhanced Security for Files: ability to audit changes, enforce multi-factor-authentication, manage external sharing and more
- Built in document versioning: no longer had to make duplicate copies of the same file as versioning was managed within SharePoint automatically
- External sharing: ability to securely share documents externally with controls (restrict from downloading, printing, etc.)
- Enhanced search: Configured the ability to find a needle in a haystack, by searching the physical contents of all their documents
